Part-time Catholic Faith Formation Secretary

This position is an hourly position for 14-21 hours/week. This position will require hours of work on Sunday. (This part-time and is seasonal according to the Faith Formation Schedule for the Parish.)

Position Overview:
The Catholic Faith Formation Secretary plays a vital role in supporting the mission of the parish by providing administrative assistance to the faith formation office. This position ensures that faith formation programs, including sacramental preparation, religious education, and youth ministry, operate smoothly and effectively. The ideal candidate will be organized, detail-oriented, and committed to supporting the Catholic Church’s mission of evangelization and catechesis.
Key Responsibilities:
– Manage phone calls, emails, and in-person inquiries related to faith formation programs.
– Maintain accurate records of student enrollment, attendance, and sacramental preparation.
– Handle registrations for classes, retreats, and events.
– Assist in preparing correspondence, mailings, and documents such as permission slips, certificates, and promotional materials.
– Maintain and update databases for all faith formation programs, ensuring confidentiality and accuracy.
– Track and report sacramental milestones (Baptism, First Communion, Confirmation) and prepare related documentation.
– Serve as the point of contact between parents, catechists, volunteers, and the parish office.
– Distribute weekly newsletters, class updates, and reminders to families and catechists.
– Assist in planning and coordinating faith formation events, retreats, sacramental celebrations, and meetings.
– Provide necessary materials, rosters, and supplies to catechists and volunteers.
– Manage supplies for the faith formation office and classrooms.
– Ensure that files and records are organized and current.
– Assist in the main parish office covering the lunch hour for the parish secretary, as well as covering all or part of their off days.
Qualifications:
Education and Experience:
High school diploma or equivalent required. Prior experience in an administrative or secretarial role. Familiarity with Catholic teachings, practices, and parish life is strongly preferred.
Skills:
– Strong organizational and time-management skills.
– Excellent verbal and written communication skills.
– Proficiency with Microsoft Office (Word, Excel, Outlook) and database management.
– Ability to learn and work with parish management software.
– Discretion in handling sensitive and confidential information.
Personal Qualities:
– Practicing Catholic in good standing with the Church (preferred).
– Positive, professional, and welcoming demeanor.
– Ability to work collaboratively with staff, volunteers, and parishioners.
– Commitment to supporting the mission of the Catholic Church and fostering faith development.
Working Conditions:
Typical office environment with occasional evening and weekend hours required to support faith formation programs and events.
Ability to lift, up to 25 pounds (e.g., supplies, event materials).
